Job Purpose

The Payroll Specialist reports to The Regional Payroll Manager (RPM)/the Regional Senior Payroll Manager (SRPM) and is responsible for processing payrolls in specific countries within a designated region. This role ensures accurate, timely and compliant payroll processing while driving operational excellence and alignment to the RWS Global Payroll standard. The Payroll Specialist collaborates with HR, Finance and external vendors to address payroll needs, maintain regulatory compliance and provide a positive payroll experience for employees.

Job Overview

Key Responsibilities

  • Process payroll for assigned countries accurately and on time, ensuring compliance with local legislation and tax requirements.
  • Maintain payroll records and resolve discrepancies, employee queries and escalations promptly and confidentially.
  • Support payroll audits and ensure compliance with company policies, statutory requirements and third-party provider processes.
  • Contribute to the implementation and ongoing compliance of the global payroll strategy and standards.
  • Identify and implement opportunities for process improvement, automation and best practice.
  • Maintain payroll procedures and Standard Operating Procedures (SOPs).
  • Provide accurate payroll data and reporting to HR and Finance for planning and analysis.
  • Support testing and validation of payroll-related system changes in D365.
  • Collaborate with HR, Finance, employees and external payroll providers to ensure smooth and reliable payroll operations.

Skills & Experience

  • Good knowledge of local payroll processes, legislation and tax requirements.
  • High attention to detail and strong commitment to accuracy and compliance.
  • Strong analytical and problem-solving skills.
  • Excellent communication and stakeholder management skills.
  • Ability to handle sensitive and confidential information with integrity.
  • Experience of processing payroll, ideally in-house and with third-party providers
  • Experience of working with various HR and Payroll systems.
  • Strong knowledge of payroll laws and regulations, tax compliance and multiple payroll systems/providers.
  • Proficiency in Microsoft Word and Excel.
