Project Manager

Job Purpose

To manage all assigned projects in the most efficient manner possible in order to ensure client retention, satisfaction and ultimately repeat revenue growth. Through effective written and verbal communication ensure that project teams are clear to the scope, complexity and expectations of clients for all projects and that the clients are kept fully informed as to the progress, position and financial status of their projects. To manage and motivate the extended project team ensuring actions are clearly delegated and that resource/quality issues are escalated in a timely fashion to the departmental managers and Program Manager.

Key Responsibilities

• Supports Program Manager and project team; leading medium to high complexity client projects and multiple accounts, ensuring high-quality, on-time deliverables.
• Prepares and negotiates quotes, including strategic and complex requests.
• Oversees project plans, workflows, and ISO compliance.
• Reviews P&L reports and recommends corrective actions.
• Identifies and mitigates production risks to maintain project success.
• Serves as primary client contact, leading presentations and post-mortem reviews; provides backup support for other accounts when required.
• Builds and maintains strong client relationships, addressing complex queries.
• Collaborates with cross-functional teams and drives implementation of new initiatives.
• Mentors junior staff and provides guidance on best practices.
• Suggests and leads process improvements to enhance efficiency and profitability.
• Ensures strict adherence to deadlines, budgets, and quality standards.
• Produces reports and leads internal reviews to improve processes and reduce risk.
• Oversees resource allocation and performance feedback.
• Drives compliance with ISO and CAPA requirements.
• Implements custom workflows and project instructions.
• Provides leadership and coaching to team members.
• Fosters a collaborative and professional work environment.
• Supports onboarding and development of junior staff.
• Demonstrates professionalism, reliability, and strategic thinking.
• Strong understanding of project management principles, ISO compliance, and risk management.
• Ability to manage complex projects and multiple accounts, including financial oversight (P&L).
• Recognized as a dependable leader who drives operational improvements and strategic initiatives.

Skills & Experience

• 5 years of hands-on experience managing projects within the localization or translation industry.
• 2 years of successful customer service/account management experience.
• Degree or equivalent in Business, languages or related
• Experience with CAT tools (e.g., TRADOS) and publishing applications (e.g., InDesign, FrameMaker).
• Demonstrated leadership or mentoring experience.
• Communicates clearly and professionally with clients, colleagues, and stakeholders. With strong internal collaboration skills.
• Leads presentations and client meetings; manages complex queries effectively.
• Manages multiple tasks including scheduling, resource allocation, and budget negotiation.
• Identifies and mitigates delivery risks; applies strategic problem-solving.
• Strong planning and organizational skills to ensure efficiency and profitability.
• Proficient in written and verbal communication for reporting and client updates.
• Proactive and client-focused with a commitment to quality and compliance.
• Collaborative leader who mentors and develops team members.
• Demonstrates professionalism, reliability, and strategic thinking.
• Verbal and written fluency in at least one foreign language.
• Familiarity with CAPA processes and custom workflows.
• Experience in financial analysis and process improvement.
• PMP certification preferred.
