Job Purpose

About the Role

 

The Docketing Specialist will be responsible for managing and maintaining our renewal clients’ system, managing payment receipts, and billing settlements. This role ensures the accuracy and timeliness of data entry, updates, and file uploads within our systems and reports to clients, supporting the overall efficiency and effectiveness of our operations.

Job Overview

Key Responsibilities

 

  •  Process payment receipts after payment confirmation.
  •  Identify and resolve any discrepancies or issues between payment transfer   orders (PTOs) and the renewal system.
  •  Generate reports and regularly update on payment receipt registration activities.
  •  Operate and manage the client’s Intellectual Property Management System   (IPMS), ensuring accurate and timely data entry.
  •  Update and maintain client system data to ensure all information is current   and accurate.
  •  Upload documents and files to the client system as required.
  •  Monitor and track deadlines to ensure all tasks are completed within specified timeframes.
  •  Collaborate with the service manager to ensure all registration requirements are met.
  •  Identify and resolve any discrepancies or issues within the client’s IPMS.
  •  Provide training and support to team members on the use of the client’s IPMS.

 

Skills & Experience

 

  • Proven experience in a similar role, preferably within a law firm or corporate environment.
  • Strong attention to detail and accuracy in data entry and management.
  • Proficiency in using IPMS.
  • Excellent organizational and time management skills.
  • Ability to work independently and as part of a team.
  • Strong communication skills, both written and verbal.
  • Problem-solving skills and the ability to handle multiple tasks simultaneously.
  • At least 2 years of work experience.
