Job Purpose

About the Role

 

The Payroll Specialist reports to The Regional Payroll Manager (RPM)/the Regional Senior Payroll Manager (SRPM) and is responsible for processing payrolls in specific countries within a designated region. This role ensures accurate, timely and compliant payroll processing while driving operational excellence and alignment to the RWS Global Payroll standard. The Payroll Specialist collaborates with HR, Finance and external vendors to address payroll needs, maintain regulatory compliance and provide a positive payroll experience for employees.

Job Overview

Key Responsibilities

 

  • Process payroll for specific countries, as designated by the RPC/SPC, ensuring accurate and timely payments.
  • Maintain and update employee payroll records and address any discrepancies.
  • Ensure compliance with all relevant payroll laws and regulations, including federal, state and local tax laws.
  • Identify opportunities to streamline payroll processes and align to the RWS Global Payroll standard.
  • Assist team with audit requirements, internally and with third-party providers and ensure compliance with corporate policies, tax requirements and statutory regulations.
  • Support the rollout and ensure ongoing compliance with the global payroll strategy.
  • Identify opportunities for process improvement, automation, best practice and implement changes to optimize payroll operations.
  • Document payroll procedures and contribute to developing and maintaining standard operating procedures.
  • Resolve payroll issues promptly, providing information and explanations to employees as needed.
  • Provide payroll data to HR and finance for budgeting, forecasting and financial analysis.
  • Test and validate payroll impacting system changes in D365 in collaboration with HR, to ensure reliable payroll processing.
  • Handle sensitive payroll issues, such as corrections, dispute resolutions and other escalations, maintaining confidentiality and a high level of service.

 

Skills & Experience

 

  • Knowledge: understanding of local payroll requirements and legislation.
  • Attention to detail: high accuracy in data entry, payroll calculations and record-keeping.
  • Compliance focus: Strong understanding of payroll regulations and commitment to compliance.
  • Communication: strong interpersonal and communication skills to address employee queries and collaborate with key stakeholders.
  • Integrity: Ability to manage confidential information.
  • Problem solving: strong analytical skills to identify and resolve payroll discrepancies.
  • Experience of processing payroll, ideally in-house and with third-party providers
  • Experience of working with various HR and Payroll systems.
  • Strong knowledge of payroll laws and regulations, tax compliance and multiple payroll systems/providers.
  • Proficiency in Microsoft Word and Excel.
