Job Purpose

Under the general supervision of the LV Program Director, the Scoping Consultant is responsible for managing client interactions to obtain request details and provide accurate quotations for both licensing and Linguistic Validation translation projects. This role involves conducting thorough research and review of licensed COA documents, creating instrument profiles, and processing licensing and permissions requests. Additionally, the Consultant will handle the scoping and quotation of LV translation projects, ensuring timely and cost-effective delivery. Prompt communication with clients, developers, and copyright holders is essential to secure availabilities and requirements, while maintaining high-quality standards and on-time delivery. The Consultant will also maintain their own quotation records and provide training to junior team members as needed.

 

About Linguistic Validation 

 

Linguistic Validation (LV) is a specialized business unit within RWS Regulated Industries that focuses on the translation, validation, licensing, and electronic implementation of Clinical Outcome Assessments (COAs). COAs are questionnaires completed during clinical trials which allow sponsors to collect data about treatment effectiveness, side effects, and health status directly from patients and caregivers. 

  

The LV Team is over 20 years of experience in the COA field, positioning us as the industry leader. Our team performs a wide variety of functions in addition to translation, including recruitment and interviewing of patients around the world, development of novel research for presentation and publication, expertise in licensing and copyrights, and management of electronic implementation of COAs (eCOA) in over 80 languages.

Job Overview

Key Responsibilities

 

  • Comply with company QMS standards, including ISO 9001 and ISO 17100.
  • Communicate with clients to gather specifications and provide accurate, timely quotes.
  • Research COA documents, instrument profiles, and past projects to avoid duplication and apply archive discounts.
  • Prepare quotes for licensing and translation projects based on complexity, size, and client needs.
  • Collaborate across departments to ensure accurate estimates and proper order processing.
  • Maintain and update instrument records and database; share updates with the team.
  • Create documentation (e.g., reports, memos) to track project status and client communications.
  • Compare quoted vs. actual project costs to improve future estimates.
  • Participate in ongoing training and development.
  • Coordinate with Finance to process invoices and payments.
  • Manage electronic project files and ensure timely setup for production.
  • Source and manage recruiters/interviewers based on project needs, replacing as necessary without impacting deadlines or budget.
  • Integrate new and existing recruiters/interviewers into active workflows.
  • Support and train junior staff.
  • Execute special projects as assigned.
  • Recommend improvements to policies, procedures, and departmental efficiency.

 

Skills & Experience

 

  • Bachelor’s degree in a relevant field (e.g., Business, English, Foreign Language, Sales, Marketing, Social/Applied Sciences).
  • 1–2 years of experience, preferably in translation, linguistic validation, or the pharmaceutical industry.
  • Proven success in production planning and account management in a fast-paced translation environment.
  • Strong organizational, prioritization, and multitasking skills under pressure.
  • Excellent written and verbal English communication, including proofreading.
  • Clear understanding of project requirements and linguistic validation processes.
  • Proficient in Microsoft Office, Adobe Acrobat, CAT tools, CRM systems.
  • Strong problem-solving and analytical skills.
  • Effective team collaboration and relationship-building abilities.
  • Capable of working independently with discretion and confidentiality.
  • Professional customer service and issue resolution skills.
  • Detail-oriented with a focus on quality.
  • Skilled in root cause analysis and project quoting.
  • Able to research, interpret, and compile data from various sources.
  • Flexible and open-minded approach to tasks.
  • Clear and concise oral and written reporting.
  • Experience with medical terminology and clinical/research settings preferred.
  • Familiarity with foreign languages and translation experience is a plus.
