Job Purpose

Entry level role with core focus on obtaining, verifying, and dispatching renewal receipts / proof of renewal documents. Customer and supplier facing role.

Job Overview

Key Responsibilities

 

  • Responsible for obtaining renewal receipts from suppliers and verification of renewal receipts against payment orders.
  • Monitor, track, and chase suppliers for outstanding renewal receipts.
  • Responsible for timely obtaining renewal receipts from PTO websites and verification of renewal receipts against payment orders.
  • Liaise with Payment Specialist to analyse potential discrepancies between payment order and renewal receipts and provide solution.
  • Responsible for uploading renewal receipts to the respective record in renewal management system by adhering to specified document description.
  • Manage and coordinate the dispatch of renewal receipts in a timely manner to customers by following the processing steps within the renewal operating system.
  • Stay up to date with latest official fee schedules as well as country laws.
  • Ensuring the highest level of care when working with customer data.  
  • Liaise with customers and colleagues in a professional manner. 
  • Responsible for any other duties assigned and executed to the highest standard. 
  • Ensure compliance with policies and procedures and take immediate action by reporting to your supervisor where risk is identified.  

 

Key Deliverables

  • Prompt and accurate handling of all tasks assigned.
  • Understanding of task-tracking and urgency.
  • Exceptional understanding of PTO websites and ability to interpret data correctly.
  • Ability to master the renewals processing platform.

 

Skills & Experience

 

  • A minimum of 1 year experience within the IP industry
  • High-level attention to detail and excellent command of numbers and calculations.
  • Understanding urgency and escalation procedure.
  • Good communication skills.
  • Exceptional time management skills.
  • Planning and organising.
  • Capable of working both with and without supervision, individually and as part of a team.
